Terms and Conditions

1. Agreement

This is an agreement between You (the person making the booking) and Us (the owners of Headland Warren Farm).  By making payment for the booking or placing a deposit for the booking you agree to these terms and conditions. The booking is a legally binding contract between us.

2. Booking and Paying For Your Stay

A non-refundable deposit of £100 is required to confirm your booking, the balance to be paid 31 days before the date of arrival. If the balance is not paid at least 31 days before arrival this will be taken as a cancellation of the booking and the cancellation terms below will apply.
Payment may be by cheque, bank transfer or debit card.

3. Cancellation

In the event of cancellation by you 31 days or more before the date of arrival the £100 deposit is forfeit. If cancellation is 30 days or fewer before the date of arrival, then both the deposit and balance of the entire stay is forfeit. If we are subsequently able to re-let the property, then all monies paid minus a five per cent administration fee will be held by us to be credited against another stay within 6 months of the cancellation date. In the event that a booking is cancelled on more than one occasion, all monies paid will be forfeit, and if the second cancellation is 30 days or fewer before the date of arrival you will also be liable for the balance of the entire stay.

We may cancel any booking with greater than 120 days notice without liability. In the event of such a cancellation there will be no further liability to you by us and all monies paid by you will be refunded in full. In the event that we cancel the booking at less than 120 days notice through no fault of our own (such as force majeure which may include generator and water system problems, damage to the property by previous guests) then you will be refunded all monies paid up to that point in time.  You will be offered the option to rebook as soon as is practicably possible and we will have no further liabilities beyond this.

If a booking is curtailed once check-in has occurred you are still liable to pay the balance for the entire stay. Any extra items or services booked by us on your behalf must be paid for in full in case of cancellation. Cancellations must be made in writing by email to us as the owners of Headland Warren Farm.

The effective date of the cancellation will be the date the written instructions are received and acknowledged by us (we will acknowledge your email on the first working day after we have received it).

We strongly advise that you take holiday insurance to cover the possibility of cancellation or non arrival for any reason.

4. Damage Deposit

A £100 damage deposit is payable together with the balance of your booking. This is meant to cover damage caused by you and any excessive cleaning after your stay.  You will still be liable for extra costs if damage caused by you exceeds the damage deposit.

Please take note this is another reason to take out an insurance policy.
In the case of no damage, this amount will be returned into your bank account within two weeks after your stay.

5. Guest Responsibilities

You are responsible for the correct behaviour of all members of your party. Visitors are not allowed to stay overnight during your stay.

You are responsible for the property during the whole rental period and are expected to take reasonable care of it. It will be clean when you arrive and you are expected to leave it in a clean and tidy condition at the end of your stay. You are responsible for ensuring that all external doors are locked and windows shut whenever the property is empty during the rental period and failure to do so may make you liable for loss or theft from the property. All damages and breakages are your legal responsibility.  We are not responsible for the damage, theft or loss of any guests’ property.

The property is non-smoking. Well-behaved dogs are welcome with consent of the owner however, take note that dogs are not allowed in the bedrooms. (Burrow only: Unfortunately we cannot accommodate pets) Horses are welcome by arrangement and stabling is available. You are to provide hay and food by yourself. The paddocks cannot be used.

Our guests are normally in pursuit of relaxation and enjoyment and are expected to behave in a reasonable manner appropriate to the environment and neighbourhood. Should a guest be persistently causing danger to others, damage to property or otherwise affecting other persons quiet enjoyment of the village and neighbourhood we reserve the right to ask the guest to leave and should they not do so to terminate your occupancy immediately. Should this happen no refund or compensation will be paid.

Whilst all possible care has been taken to ensure that the property is as free from hazards as possible, guests are expected to be mindful of any potential risks associated with the property. Dartmoor is an irregular landscape and there are many natural hazards in and around the properties such as sharp drop offs, water and bogs so please be aware of these. Parents are responsible for the behaviour, health and safety of their children.

6. You will be contacted by our caretaker the day before your holiday starts. Please make sure you provide us with an email address and a telephone number to make sure we can get hold of you. If by any means possible, the caretaker will try to greet you at your arrival and answer any questions. Her details are also available on the information leaflet, inside on the right wall, at the entrance of the property

7. In the event that you are unable to reach the property due to weather, transport or other circumstance beyond our control you are still liable for the entirety of the booking, including all additional goods and services that may have been arranged. In the event of severe weather we may offer assistance to help you reach the property but the offer of such assistance does not make us responsible for your transport arrangements, such assistance is provided ‘as-is’ and does not form part of the letting contract.

Check in is from 4.00pm, however an earlier check in may be possible upon request. The property should be vacated by 10.00am on the day of departure.
We strongly advise that you take holiday insurance to cover the possibility of cancellation due to unforeseen circumstances.

8. Problems and queries

We work as hard as we can to make your stay relaxing and enjoyable, however, should you be unhappy about any aspect of the property or our service please make us aware of it immediately by speaking or writing to the caretaker and we will do our best to correct the situation. If you do not make us aware of a problem at the time it will affect our ability to remedy the situation and may affect your rights to compensation later, should such compensation be appropriate.

9. Insurance

It is a condition of booking that guests have appropriate travel insurance. Guests coming from outside the UK should ensure that their insurance provides adequate medical cover.

10. General

No photography or film taken at the property may be used for commercial purposes without our prior written consent.
We reserve the right to alter the Tariff, Terms and Conditions without notice. The Terms and Conditions applicable to your booking are the ones published on our website at the time of receipt of your deposit confirming your booking or the ones attached to the email confirming your booking. If these differ, the Terms and Conditions attached to your email booking confirmation will take precedence.
By making the deposit payment you will have indicated that you accept these Terms and Conditions.
